Cancellation / Refund Policy

If your plans change and you need to cancel your registration, please do so at least 21 days prior to the start of the meeting. You will receive a full refund minus a $150 cancellation fee. Regrettably, cancellations received less than 30 days prior to commencement of the conference are not eligible for a refund because we must pay our venues regardless of whether or not you actually attend. Finally, if you cannot attend the entire conference for any reason, we will not be able to prorate your registration fees. Thank you for your understanding with respect to this policy.

Abstract Submission

  • Only registered attendees can submit abstracts and only registered attendees can present a poster
  • The person presenting the abstract/poster must be knowledgeable on the subject (typically an author) and must attend the poster sessions to answer questions and present the data
  • Abstracts/posters should present new scientific or health data (for example, cannot be to advertise a product etc, as these may be screened out by the abstract review committee)
  • All abstracts that meet the above criteria are automatically accepted for poster presentation
  • Some abstracts will be selected for platform presentation, you will be notified by August 18th if your abstract is selected for a short talk. Only abstracts submitted prior to the June 30, 2025 early bird deadline will be eligible for oral presentation
  • Abstracts must be 250 words or less

Abstract Poster Information

  • Please ensure that your poster is a maximum of 4 x 4 feet (120 x 120 cm)
  • Please remember that the Conference is structured for both basic researchers and clinicians, and we strongly encourage you to gear your poster towards a wide audience of clinicians/scientists
  • Posters can be set up in the Drawing Room starting Thursday September 11 at 3:00PM, and should remain on display for the duration of the conference. Your poster number will be provided at conference check-in
  • The formal sessions for presentation and viewing of posters will be Friday 3:00-4:00pm and Saturday 9:30-10:30am and you should be available by your poster to present your work to other conference delegates
  • Posters will also be available for informal viewing throughout the duration of the conference
  • Posters must be taken down immediately following the last coffee break (at 3:30 on Saturday September 13), or they will be discarded

All registration fees are in Canadian dollars and include:

  • Keynote Session
  • All Scientific and Clinical Sessions
  • CME Credits (Clinical Sessions only)
  • Access to Abstract Poster Sessions
  • Welcome Reception/Hors d'oeuvres and Beverages (Thursday 6:30-8:00)
  • Wine and Cheese Social (Friday 5:30-7:00)
  • Breakfast and Lunch (Friday and Saturday)
  • All Coffee Breaks
